Power PDF: Continue Bates Numbering in a New Document Batch

To continue Bates numbering in Power PDF Advanced, identify the last issued number and set the next batch's starting number deliberately. Do not assume a saved numbering scheme remembers the end of every previous production. A scheme describes formatting; your production record establishes which identifiers have already been used.

This matters when an initial delivery is followed by supplemental documents. Restarting at the default can assign the same visible identifier to different pages. Work on copies and prepare a short numbering register before opening the stamping dialog.

Establish the next unused identifier

Record the final identifier from the actual delivered files, not an abandoned test. Include the prefix, numeric portion and suffix. If the previous delivery ended at CASE-000148, an illustrative next numeric start is 149, with the same prefix and digit width where your production rules require continuity.

Also record exceptions. A withdrawn page, an intentionally reserved range and an unsuccessful stamping attempt are different events. Ask the person responsible for document production which ranges remain valid rather than filling apparent gaps simply because numbers are available.

Keep page numbers separate from Bates numbers

An ordinary page number identifies a position inside one document. A Bates identifier can span a document collection. Tungsten's numbering tutorial illustrates these as separate elements. Check the actual Bates field when continuing a collection; changing “Page 1 of 12” is not the same operation.

Prepare the supplemental file queue

Add only the supplemental documents to the new stamping job. Review file order, page counts and duplicate filenames. Two files called Appendix.pdf in different folders should not be treated as interchangeable. Give each source a recognizable working name before assembling the queue.

The Advanced Bates instructions describe ordering files before stamping and configuring output rules. Check your installed edition: the documented Bates feature is available in Advanced. Encrypted or digitally signed files have restrictions; ask the document owner for an appropriate authorized working copy rather than altering protections.

Preview both ends of the range

Review the first expected identifier and calculate the last from the number of pages being stamped. For a 20-page supplement starting at 149, the expected final numeric value is 168. This is a planning example, not a test result from Power PDF. Confirm that your inclusion rules count the same pages.

Apply the scheme to a small copy first

Use a short sample to inspect placement, margins, font size and existing footers. A correct numeric sequence can still be unusable if it covers a signature, cropped text or a page reference. Include an unusually sized page in the sample when the production contains mixed page dimensions.

Then stamp the intended supplemental queue into a separate output location. Do not replace the original sources or restamp the earlier delivered collection just to extend the numbering. Preserve the input order used for the final run so someone else can reproduce the production decision.

Validate continuity after saving

Open the saved output and inspect the first and last page of each file. Check transitions between files as well as the beginning and end of the entire supplement. Look for missing prefixes, incorrect leading zeros, repeated ranges and accidental numbering on pages that should have been excluded.

Compare the output page count with the source count. If a page was inserted or removed after stamping, stop and reassess the production record. Renumbering a delivered collection can invalidate references already used by reviewers, so a corrected delivery needs an explicit owner and change record.

Maintain a lightweight numbering register

Store the delivery name, source list, range, page count and responsible person. This need not be a complicated database. A small controlled worksheet is more useful than relying on one operator's memory or a scheme name such as Final-New.

Our PDF software buying guide discusses workflow requirements when selecting editions. For an existing Power PDF installation, the practical goal here is narrower: one supplemental batch, one intentional starting value, and a verified identifier range that does not collide with prior deliveries.
