OmniPage OPD Versus PDF: Save the Working Project and the Final Output

Save an OPD when you need to resume OmniPage's recognition and review work; export a PDF when you need the chosen PDF representation for a recipient. These files serve different purposes. Saving one should not be assumed to update the other automatically.

This guide follows the OmniPage Ultimate 19.2 help. Start by deciding whether the document is still being processed or has been reviewed for distribution. A file that looks finished may still need unresolved words, zone corrections or page additions inside the working project.

Identify what must remain editable

List the information needed for continued recognition work: source page images, zone choices, recognized results and the relationship between image and text. The OPD saving reference describes the proprietary project format and the information it can retain.

The intended recipient may need none of that working state. They might require a searchable PDF, an editable document or a controlled image representation. Define that output separately instead of treating the project file as a universal distribution format.

Keep a working master

Use a clearly named OPD for the active processing job and an approved storage location. Record the source collection it represents. Avoid several files all called Final when one contains newer recognition work than another.

Keep recipient outputs distinguishable

Name exports according to their purpose and revision. A reviewer should be able to identify which PDF came from which accepted working state. Do not overwrite a distributed output silently when later proofreading changes the text.

Save the project after meaningful review changes

The official OPD documentation notes that exporting another format does not automatically resave the OPD. After changing recognition results or project settings, explicitly check the working project's saved state. A newly exported PDF is not evidence that the resumable project contains the same corrections.

Close and reopen a noncritical sample project to confirm the expected state is available. Do this before relying on the workflow for an important collection. Preserve the source and avoid deleting earlier accepted versions until the owner has a defined retention decision.

Choose export settings independently

The formatting-level guide explains that output choices are made for the selected target format. Check the intended PDF representation and available settings in your installation. The editor's appearance is not a substitute for inspecting the exported file.

Open the saved PDF and compare page count, orientation, visible notes and important text with the accepted source. For searchable output, test known terms and short permitted copied passages. A correct-looking image can coexist with an inaccurate recognized text layer.

Consider embedded resources deliberately

OPDs can include certain supporting resources when embedded through the documented controls. That can improve portability but can also increase file size. Include only what the authorized handover needs rather than embedding every available dictionary, template and training file automatically.

If another operator must continue the project, agree what resources and compatible software they need. A file reaching their computer does not establish that they can resume every part of the original workflow. Use an approved test handover with a harmless sample.

Protect both privacy and recoverability

A working project may contain more information than the final visible output, including source images and recognition state. Limit access according to the organization's document-handling policy. Do not send an OPD to an unrelated support channel simply because the exported PDF is small or sanitized.

Protect the working project and important source files through the organization's recovery process. A second format in the same unprotected folder is not automatically a backup against loss of that storage location.

Keep the handover record compact

Record the source identifier, working OPD, accepted output, revision date and remaining review issues. This can be a short text note or controlled register. The value comes from the relationship between files, not from retaining many unlabeled intermediate exports.

Our PDF workflow selection guide covers the downstream editing and distribution decision. For OmniPage work, keep three stages explicit: preserved input, resumable project and reviewed recipient output. Saving each intentionally prevents a polished PDF from becoming the only surviving record of work that still needs correction.
